How to Schedule Meeting Times in Google Calendar

All people who have a premium account of Google workspace now you can make your Google Calendar so that other people can schedule meeting times manually. With the proper configuration done, you just need to send a link to those who want to talk to you personally or via video call. Check all the steps right now.

Activating the setting in your Google Calendar

First of all, it is important to remember that the functionality is only available for those who have a premium account of Google workspace. The monthly fee starts from R$ 28.

The subscription can be made directly in the google website and in addition to the feature to facilitate meeting scheduling, you get more storage (1TB), real-time support from Google's service team and a personalized email. Step 1: access the official website Google Calendar and if you are not logged in, enter your username and password. Then, with your premium account already activated, click on the gear icon to activate the appointment schedule.

Step 2: on the new page, in General, scroll down the page until you find the section appointment scheduling and check the option box. Here:

Step 3: Next, you'll need to set up your calendar so that people can make appointments automatically. That way:

See what each item on the list means:

  • time duration: the time available for each appointment;
  • general availability: times you will be available throughout the week;
  • programming window: how far in advance (between 60 days and 4 hours) appointments can be scheduled;
  • adjusted availability: if rescheduling is necessary, on which days this can be done;
  • Scheduled event settings: how often an event can be scheduled, considering the breaks between meetings;
  • Calendars with checked availability: if you use more than one Google Calendar in your account, mark which one will be made available so that no conflict happens;
  • Cor: Choose a color for bookings made by other people.

Once this is done, your agenda is ready to start receiving appointments from other people and the defined rules will be taken into account by the system. Google Calendar. But there are some more settings to be done, we'll talk about that in the next paragraph.

Back to the homepage of Google Calendar, you will need to fill in more details before sending the booking link. Let's go through each of them.

Booking page photo and name: here, you can send a photo of yourself or your business logo that will be displayed to anyone who accesses your link. The name can also be customized just for this page.

Location and videoconferencing: if you have a place just to receive people in person, you can indicate the address via Google Maps also on this page. But if you are a person who prefers that everything be done virtually, just indicate the use of Google Meet. There is also a way to indicate that the entire conversation will take place via a traditional telephone call.

Appointment reminders and confirmations: after scheduling is done, you will define how long before a reminder will be sent and if you, the account owner, also want to receive a notice when a new meeting is registered.

So that someone can schedule appointments in your Google Calendar, you need to submit a unique link. And doing so is very simple: Just click on Create and then in appointment scheduling. Here:

A page will be displayed with all the appointments already scheduled and with the times still available and then, just click on Share for a link to be generated.

So just send this to whoever you want and the person will be able to see your availability to schedule a meeting following the rules you defined earlier.

As soon as you access the booking link, whoever is on the other side and needs to talk to you will see a page with the name, chosen photo and all available times. How are you:
