After creating your account, access calendar.notion.so and click on “Sign in with Google“. Once registered, you will have the option to use the Notion Calendar via the web or download the application for desktop or cell phone. The application is compatible with Windows and Mac operating systems, offering flexibility for use on different platforms.

Notion Calendar features a user interface (UI) made up of three distinct sections:

  1. Notion Calendar menu (left): In this section, you will find a listing of all your Google calendars along with the Notion Workspace connected.
  2. Main Calendar UI (Center): This is the default calendar view, displaying all your events. Additionally, you have the option to choose between day, week and month views.
  3. Context Menu (on the right): Considered the most useful section, here you can add descriptions, times and duration of the event, as well as include information such as meeting location, participants and additional documents from the event. Notion.

Unlike other calendar apps, Notion Calendar offers powerful keyboard shortcuts and a command menu. This functionality allows you to navigate, add/edit events and perform other tasks without needing to use the mouse. This approach certainly contributes to increasing productivity in the long term.

How to import Notion databases into Notion Calendar

  1. Create a new event in Notion Calendar (click and drag to the desired day and time).
  2. Give it a name.
  3. Instead of your main calendar account, select the database Notion wanted.

1. Access the Teammate's Calendar:

  • In the left sidebar of Notion Calendar, click •• next to your own calendar.
  • Select “Show teammates calendar…”.
  • Search and choose your teammate's email.
  • Press “esc” or select the “x” next to the calendar in the left sidebar when done.

2. Add a Teammate's Calendar:

  • To view a teammate's calendar, follow these steps:
    • View the agenda.
    • Right-click the teammate's email.
    • Select “Pin to calendar list”.
  • To remove a teammate's calendar, right-click the calendar and choose “Remove teammate from list.”

3. Create One-on-One Meetings:

  • Drag a teammate from the Notion Calendar menu to your grid to schedule a one-on-one meeting.

1. Edit Your Primary Time Zone:

  • In the top left corner, below the month field, click on your current time zone (for example, GMT+1).
  • This will open a sidebar on the right where you can adjust and modify your time zone as needed.

2. Add More Time Zones:

  • To the left of your current time zone, click the “+” to add additional time zones.
  • Enter the name of a city or desired time zone and rename to your preference (for example, GMT -5 can be renamed to “NY” to represent New York).
  • You can also designate the newly added time zone as the primary time zone if necessary.

These features allow for easy adaptation to global work environments, providing a clear and convenient view of relevant time zones for efficient collaboration, regardless of geographic distances.

A notable feature is the ease of sharing availability, especially with external people. Just click the button “Share availability” in the right sidebar (or press "S"). At this point, the background will turn gray, allowing you to select the desired times by dragging the mouse.

After completing this step, check out the right sidebar where you can:

  • Copy and paste the automatically generated text (presenting all availabilities as text).
  • Send the scheduling link.
  • Or do both options!

Additionally, you can configure a standard conferencing tool (for example, Google Meet) and define the duration of the meeting, ensuring efficient management of appointment scheduling.

If you want to keep certain events in your calendar private from teammates (e.g., doctor appointments, in-person meetings, etc.), you can “block them” and hide their titles and/or details.

To perform this action, simply right-click on the desired event, choose the option “Block in calendar” and select the specific calendar to block. In this process, you can choose to display only "Busy" or include all event details, giving you flexible control over the privacy of your calendar activities.

What are the limitations of Notion Calendar?

While Notion Calendar is an incredible release, it's important to recognize that, like any app, it still has some limitations. Here are some drawbacks worth keeping an eye on:

  1. No Support for Outlook and Apple:
    • Currently, only the Google Calendar can be connected to Notion Calendar. Although there are workarounds to view other calendars such as Outlook and Apple, this limitation may be inconvenient for users who depend on these platforms.
  2. Two-Way Sync with Google Calendar:
    • Notion Calendar does not offer two-way syncing with Google Calendar. This means there is no native way to sync events between Google Calendar and Notion, a feature that would be valuable to many users.
  3. Limitations on Database Properties:
    • Currently, the ability to change properties of a database item in Notion Calendar is limited. Only the name and date/time can be modified, which may restrict customization within the app.
  4. Restrictions on Notion Events:
    • The items in Notion do not fully behave like calendar items at this time. The lack of options such as adding meeting links, participants and replay functionality can be a limitation for users looking for more complete integration.
  5. Lack of Customization in Database View:
    • The lack of ability to rename specific Notion Database views within Notion Calendar can be an important consideration, especially for users importing multiple views from the same database.
  6. Not a Complete Scheduling Tool:
    • Although Notion Calendar offers the ability to schedule meetings, it lacks some features found in other scheduling tools. The need to recreate availability after someone schedules can be an inconvenience.
